An IT hire costs $60,000-$160,000 a year fully loaded — and they still sleep. The real math of in-house vs. managed IT, when hiring actually makes sense, and the co-managed third option.

In the last video I broke down what managed IT costs — $100 to $250 per user, per month. Today: the other option every business owner considers. Hiring your own IT person. A good technician or engineer runs $60,000 to $160,000 a year fully loaded — and they’re only available eight hours a day.

The true cost of one IT hire

Salary is just the start. Add benefits, the tools and licensing they need, and the ongoing training it takes to stay on top of a career that changes every year. Then add turnover risk: anybody who’s very good is going to get sniped — they’re always being recruited. And when the turnover happens, you inherit every risk that comes with the knowledge they carried that never got written down or shared. What happens when they leave?

The single point of failure

One person means one point of failure. When they’re sick. When the midnight ransomware hits and shuts the business down. My favorite: when they win the lotto and just don’t need the job anymore. Or the classic — when they get hit by the bus. If your entire technology operation depends on one human being showing up, you’ve got a risk sitting in the middle of your business.

The knowledge problem

It is impossible for any one human being to stay on top of everything a modern IT system needs — it’s just too complicated now, and the damage a mistake can cause has gone up exponentially. The old model of “the one guy who knows everything” doesn’t scale — not with your business size, and not with the knowledge required.

At ACS, I know a lot. My lead engineer knows a lot. My technicians know a lot. The amount of knowledge in the company grows multiplied by the number of people in it. Your one hire has to know networking, security, the vast world of Microsoft products — and strategy. Can they help you make business decisions with your IT? That’s what you get from a managed IT provider that one person in the house can’t match.

When in-house actually makes sense — the honest answer

There are real advantages, and I’ll be straight about them. An in-house person builds deep, institutional knowledge of your specific environment. They can be dedicated to solving deep problems instead of being a generalist. If you’re willing to carry the risk, that’s genuinely valuable.

And once your business grows — somewhere in the 150 to 300 employee range, depending on the business — hiring a small internal team starts to make real sense. Just know the catch: now you need someone who can manage a team, and most IT people aren’t great managers. You’re usually a great manager or a great technician; it’s rarely both.

Co-managed IT: the third option

This is the one most business owners don’t know exists — and it often makes a lot of sense. You keep your in-house person: they’re there every day, in your business, they know your employees intimately, they’re in it for the long term. But they can’t keep up with everything, so you outsource pieces of the system.

Maybe security is too deep to stay on top of alone — we take that over. Maybe your person is really a programmer at heart and doesn’t love supporting users — we take the helpdesk, close the tickets, keep people productive, and they focus on what they’re great at.

I’ll be honest: you don’t do co-managed to save money. It’s a premium arrangement. But for businesses with deep knowledge needs, it’s highly effective — you get the institutional knowledge and the coverage, the security depth, and the bench.

Do the math for your business

That’s how to look at the numbers: what one person really costs, what the risk is worth, and where managed or co-managed fits. If you’re in the 10-to-300 employee range, this is where we live — making things run better and protecting the business across Chicagoland, Northern Michigan, and Central Florida. Book a discovery call and we’ll run the numbers on your actual environment. And if you haven’t yet, start with what managed IT actually costs.

What Does Managed IT Actually Cost? Real MSP Pricing for Small Business (2026)

Real managed IT pricing from an MSP owner: $100-250 per user/month, what moves the number, red flags in cheap quotes, and the true story of a business one unplugged drive from losing 25 years of data.

Most small businesses pay between $100 and $250 per user, per month for managed IT. In this video I break down exactly how MSPs get to their numbers — so you can tell whether you’re getting value, or figure out what setup fits you best if you’re shopping. The full written version is below.

The four ways MSPs charge

Every provider’s pricing boils down to a handful of models:

Per-user pricing — one monthly fee per employee, covering their devices. This is the range most small businesses live in: $100–$250 per user, per month.

Per-device pricing — $30–$100 per workstation monthly. Servers carry more overhead and cost, so they price separately at $100–$400 per server, tiered by service level.

Break-fix — no plan, no maintenance; you pay $125–$250 per hour when something breaks. It looks cheap. Keep reading.

What moves the price up or down

The biggest driver is your security stack: endpoint detection, backup — and whether that backup is actually being tested — and security training for your people. Then your compliance needs, and what it takes to verify them.

Server-based or cloud-only matters too. Servers are capital expense, cloud is operating expense, and depending on what you’re doing, either one can end up costing more.

Then there’s the one people underestimate: response time guarantees. How fast does the provider respond — 15 minutes? Two hours? Next day? And how fast do they solve the problem once they respond? That second part is really a question about staff: a seasoned team fixes in minutes what takes a greener team hours. Speed costs money to staff — and it’s worth it the day your line is down.

Finally, onsite time. Technicians on site regularly costs more than remote-first support with onsite visits when hardware actually needs hands.

You can’t have all of it for nothing. If your people being down means you’re not making money, spend on the response guarantee. If you handle sensitive data or carry compliance obligations, spend on the security stack. Match the money to what actually drives your business.

What “cheap” can really cost you — a true story

A prospect of ours — now a customer — was on break-fix. Good IT company before us, but they didn’t pay for management, didn’t pay for security, did most things themselves, and only called when something broke.

They ended up one drive, one plugged-in piece of equipment away from losing 25 years of data. Not “lose a day of work” — out-of-business territory. That’s what cheap can cost: the-whole-business expensive.

We’ve also broken down what one hour offline costs a small business — for most companies it’s more than a month of managed service.

Red flags in an IT quote

No contractual response time. If the agreement says nothing about when you can expect service, at some point they won’t deliver what you expect. I hear the horror stories constantly — responses in a day, two days, a week, whenever they decide your issue matters.

Security as an add-on. A provider who’ll “do your work” without their security platform is setting you up to fail — and setting themselves up to bill $125–$250 an hour fixing what proper security would have prevented.

Vague project fees. Projects should have clear definitions, clear costs, clear deliverables — and you should never be surprised by one. If your server is aging out, a good provider schedules its replacement so it’s an easy, planned project instead of a last-minute nightmare after it fails.

The real math: what a 10-person company pays

On per-user pricing: 10 people × $100–$250 = $1,000–$2,500 per month.

But headcount isn’t always the right measure. A 10-person manufacturer might run 50 computers — one-to-one in the front office, one-to-ten out on the shop floor. That’s why we price manufacturing per device: 50 devices at $30–$100 each lands between $1,500 and $5,000 per month, driven by how much data you’re backing up and how much security you need. Low security needs put you near the bottom of the range; high needs put you near the top.

Why two quotes for the same company differ so much

Now you know: what security are they promising? What service level? How much data are they backing up? How fast do they respond — and how seasoned is the team doing the responding? Fast and right costs more. Every company weighs it differently, which is why the range swings so widely. Just be fully aware: having all of it costs more than picking the one or two things that matter most to your business.

Is managed IT cheaper than hiring an IT person?

Always — and here’s why. One person managing everything means you need a backup plan for when they’re sick, injured, on vacation, or hit the lottery. And no one person can know everything; it’s impossible. I know a lot. My lead engineer knows a lot. The two of us together know more than any one IT hire ever could — and there are half a dozen of us. An IT hire runs $60,000–$160,000 a year, and that buys a whole lot of managed IT service with a full team and redundancy behind it.

If you have internal IT you want to keep, that’s what co-managed IT is for — your team keeps control, and we add the tooling, monitoring, and bench depth behind them. To be clear: co-managed isn’t a discount play — it’s a premium arrangement for businesses whose deep institutional knowledge is worth keeping in-house. The full in-house-vs-managed math — loaded costs, the single point of failure, and when hiring actually wins — is in Managed IT vs. Hiring Your Own IT Person.

Get a real number for your business

Ranges are ranges — your environment has an actual number. We fancy ourselves one of the faster IT companies, with a security bundle that scales from very secure down to affordable-but-protected, and a deep bench of people who know their stuff. We serve Chicagoland, Traverse City & Northern Michigan, and Winter Haven & Central Florida. Book a discovery call — we’d love to show you how our pricing stacks up against the other guys.

Business e-mail compromise (BEC) is quickly becoming one of the most dangerous cyberthreats businesses face. While these scams have challenged organizations for years, the introduction of advanced AI tools has made them more sophisticated – and far more dangerous.
In 2023, BEC scams caused $6.7 billion in global losses. Even more alarming, a study by Perception Point revealed a 42% increase in BEC incidents during the first half of 2024 compared to the same period the year prior. With cybercriminals harnessing AI to refine their techniques, this trend is only accelerating.
What Are Business E-mail Compromise (BEC) Attacks?
BEC scams aren’t your average phishing attempts. They’re highly targeted cyberattacks where criminals exploit e-mail accounts to trick employees, partners or clients into sharing sensitive information or transferring funds.
Unlike generic phishing, BEC scams often involve impersonating trusted individuals or organizations, making them far more convincing and effective.

Why Are BEC Attacks So Dangerous?
BEC scams are alarmingly successful because they rely on manipulating human trust rather than malware or attachments, which can often be detected by filters. Here’s what makes them so destructive:
They can result in:

Severe Financial Losses: One convincing e-mail can result in unauthorized payments or data theft. The average loss per attack exceeds $137,000, and recovering stolen funds is nearly impossible.

Operational Disruption: An attack can grind business operations to a halt, leading to downtime, audits and internal chaos.

Reputational Damage: How do you explain to clients that their sensitive data may have been compromised?

Loss of Trust: Employees may feel less secure, knowing their organization was vulnerable.

Common BEC Scams To Watch Out For
BEC scams take many forms. Here are a few of the most common:

Fake Invoices: Cybercriminals impersonate vendors and send realistic invoices requesting payment.

CEO Fraud: Hackers pose as executives, pressuring employees to transfer funds under tight deadlines.

Compromised E-mail Accounts: Legitimate accounts are hacked and used to send malicious requests.

Third-Party Vendor Impersonation: Trusted vendors are spoofed, making fraudulent requests appear routine.

How To Protect Your Business From BEC
The good news? BEC scams are preventable with the right strategies in place:

Train Your Team Like It’s Game Day
Teach employees to spot phishing e-mails, especially those marked “urgent.”
Require verbal confirmation for any financial request.

Enforce Multifactor Authentication (MFA)
MFA acts as a safety net, even if a password is compromised. Enable it on all accounts, particularly e-mail and financial platforms.

Test Your Backups
Regularly restore data from backups to ensure they work. A faulty backup during an attack could cripple your business.

Get Serious About E-mail Security
Use advanced e-mail filters to block malicious links and attachments.
Audit access permissions regularly and revoke access for former employees immediately.

Verify Financial Transactions
Always confirm large payments or sensitive requests via a separate communication channel, like a phone call.

Next Steps For Security
Cybercriminals are evolving, but you can stay one step ahead. By training your team, securing your systems and verifying transactions, you can turn your business into a fortress against BEC scams.

Want to ensure your business is protected? Start with a FREE Network Assessment to uncover vulnerabilities, secure your systems and keep cybercriminals out.
Click here to schedule your FREE Network Assessment today!
Let’s stop BEC in its tracks – before it stops your business.

Imagine you and your team walking into work ready to tackle the day’s tasks when suddenly the Internet goes down, e-mails stop working and productivity grinds to a halt. What would you do? When the “Internet goes down,” most businesses’ operations come to a halt, which can cost thousands in lost productivity and sales. Just think back to the MGM data breach over the summer: electronic room keys failed, casinos shut down and even online restaurant reservations were unavailable. That downtime cost MGM millions.

But downtime is only one way bad IT support can cripple your business. Add in constant frustrations like forgotten passwords, malware infections or trouble accessing shared files, and the pile of inefficiencies starts to look like a mountain.

Far too often, business owners end up shelling out big bucks for IT support that’s barely capable of solving the simplest problems. These so-called “IT experts,” who promised world-class service at bargain-bin prices, often spend more time twiddling their thumbs than proactively solving issues – waiting for YOU to tell THEM something’s broken.

You don’t have to settle for tech headaches and reactive IT support that only shows up after the damage is done. It’s time to demand better and ELIMINATE tech problems before they start.

To help, we’ve created a checklist of essential standards that anyone managing your network should meet. See how your current provider measures up:

Do they answer their phone LIVE and respond to emergencies within 0 minutes?
When you’re in a crisis, waiting on hold or leaving voicemails isn’t an option.

Are they easy to reach and responsive for nonemergencies, with responses within an hour?
Everyday tech issues shouldn’t leave your team stuck in limbo.

Do they proactively monitor, patch and update your network’s critical security settings?
If you’re unsure whether this happens daily, weekly – or at all – you’re likely at risk.

Do they provide proof that ALL your data is being backed up, including laptops and devices?
A trustworthy IT provider ensures nothing slips through the cracks.

Do they meet with you at least quarterly to review projects, performance and improvements?
Great IT support doesn’t just fix problems – it helps you plan for the future.

Do their invoices clearly explain what you’re paying for?
No one likes surprises, especially when it comes to billing.

Do they explain what they’re doing in plain language, not “geek-speak,” and take the time to answer your questions?
You shouldn’t need a translator to understand your IT provider.

Do they proactively discuss cybersecurity, recommend solutions and offer employee training?
Cybersecurity isn’t optional, and employee education is a critical layer of defense.

Have they provided you with complete network documentation, including admin passwords?
If they’re holding the “keys to the kingdom” hostage, it’s a huge red flag.

Do their techs arrive on time, dress professionally and leave you confident after every interaction?
Professionalism matters – if you cringe every time you call, it’s time to move on.

Bonus Points: Is Your IT Provider Going Above And Beyond?

Do they conduct regular disaster recovery drills to ensure your backups actually work?
A backup is useless if it fails when you need it most.

Are they helping you plan for scalable growth with technology that evolves alongside your business?
The right IT partner ensures your systems grow with your company.

Do they offer advanced cybersecurity tools, like endpoint detection and AI-driven monitoring?
Cyberthreats are always evolving – your protection should be too.

Do they track and optimize your network’s performance to prevent bottlenecks and downtime?
Efficiency is the name of the game in today’s competitive landscape.

Time To Raise The Bar

If your current IT provider doesn’t check all these boxes, you’re likely paying for subpar service – and it could be putting your business at risk. From security vulnerabilities to lost productivity, poor IT support is more than just an inconvenience – it’s a liability.

Don’t settle for anything less than a partner who prioritizes your business’s success.

When it comes to IT support, most business owners assume “good enough” is just that – good enough. But what if your IT provider is actually putting your business at risk with slow responses, poor communication or a lack of proactive solutions?

The truth is, you might not know how bad your IT support is until you see what great IT service looks like. If any of the following signs sound familiar, it’s time to start shopping for a new IT provider.

1. You Can’t Reach Them During Emergencies

When you’re facing a network meltdown or a cybersecurity breach, waiting on hold or leaving a voicemail isn’t an option. A reliable IT provider should answer your calls live or return them within 30 minutes, especially in emergencies.

If your provider is MIA when you need them most, that’s a big red flag.

2. They Don’t Monitor Your Network Proactively

Your IT provider should be the one alerting you to issues – not the other way around. Proactive monitoring means they’re tracking your systems for downtime, breaches and inefficiencies, then bringing solutions to you before problems arise.

If you’re constantly finding issues they’ve missed, they’re not doing their job.

3. Cybersecurity Isn’t Their Priority

“Cybersecurity” isn’t just a buzzword, it’s the backbone of modern IT. If your provider hasn’t created and implemented a comprehensive cybersecurity plan that includes ransomware protection and data backup, they’re putting your business at risk.

Great IT providers are always proposing new ways to keep you safe from the latest hacker tricks. If yours isn’t, it’s time to rethink your partnership.

4. Their Support Is Inconsistent And Hard To Use

Are they responsive even for nonemergency issues? Do they have a clear, customer-friendly ticketing system to log and prioritize your requests?

If your team is frustrated by long waits, unresolved problems or clunky processes, you’re dealing with a provider who’s not putting your needs first.

5. They Don’t Provide Clear Invoices

You should always know exactly what you’re paying for. If you’re getting vague invoices or being nickeled-and-dimed for every little service, that’s a problem. Transparency about costs is a hallmark of a great IT provider, and you deserve to know where your money is going.

6. They’re Not Testing Backups Regularly

Backing up data is critical – but if no one is testing those backups, you could be in for a rude awakening when disaster strikes. If your IT provider isn’t doing regular test restores to ensure your data can be recovered, it’s time to find someone who takes your backups as seriously as you do.

7. Projects Are Always Late And Over Budget

Does every IT project feel like a surprise party – with unexpected delays, hidden costs and zero communication? Great IT providers deliver on time and within budget (or at least keep you in the loop if things go off track).

If you’re tired of constantly chasing them for updates, it’s time to look elsewhere.

Stop Settling For Subpar IT Support

Bad IT support is more than a headache – it’s a liability. If any of these signs hit close to home, it’s time to see what truly great IT service looks like.

Ah, the holiday season – when everything gets festive, sales go up and your to-do list grows longer than your wish list. For businesses, this time of year can be make-or-break, but while you’re decking the halls, your IT infrastructure might be decking you with unwanted downtime and cyber threats. The last thing you need during the holiday rush is a tech meltdown. So, how can you make sure your business technology keeps up with the festive pace? Proactive IT support is the answer.

Why The Holiday Season Puts Your IT Systems To The Test

During the holidays, your business faces unique pressures that can turn minor IT problems into major crises. Here are some common issues you might encounter:

Increased System Load: With more customers shopping, visiting your website or using your online services, your IT systems face more strain than usual. Without proper optimization, this can lead to frustrating slowdowns or, worse, full-blown outages. And as we all know, downtime during peak season is a surefire way to lose revenue.

Cybersecurity Threats: Cybercriminals know that businesses are distracted by the holiday hustle and bustle. They take advantage by launching phishing attacks, ransomware and other exploits during this time. A single data breach could cost you not just money but your reputation too.

Outdated Systems: Many businesses put off IT updates until it’s too late. While you might get away with it during quieter months, outdated tech during the holiday rush is a recipe for disaster. Slow performance or unexpected failures can grind your operations to a halt.

The Case For Proactive IT Support

Rather than playing catch-up when things go wrong, reliable and proactive IT support helps you avoid these problems before they happen. Here’s how it works:

24/7 Monitoring: Proactive IT services monitor your systems around the clock, identifying and resolving issues before they can disrupt your business. Imagine catching a potential server overload before it crashes during Black Friday – priceless, right?

Scheduled Maintenance: With proactive IT support, your systems are regularly updated, patched and maintained. This ensures your technology is always in tip-top shape, so you’re not scrambling to fix things when you should be focusing on sales.

Load Testing And Optimization: Before the holiday rush, your IT provider can perform load testing to see how your systems handle increased traffic. They can then optimize performance to make sure your network doesn’t crumble under pressure.

Cybersecurity Defense: Proactive support means staying ahead of hackers. From implementing multifactor authentication to setting up firewalls and monitoring for suspicious activity, an IT provider helps ensure your business isn’t a sitting duck for cyber-attacks.

The Financial Upside Of Proactive IT

The benefits IT services provide are ones that pay for themselves in the long run. Here’s why:

Reduced Downtime Costs: Downtime during the holiday season could cost your business thousands of dollars per minute in lost revenue. By staying ahead of IT problems, you minimize downtime and keep the cash flowing.

Increased Productivity: Your employees will thank you when they don’t have to spend their time troubleshooting tech issues. With fewer disruptions, they can focus on doing their jobs, which boosts overall productivity.

Lower Long-Term Costs: Emergency fixes, lost data and hardware failures are expensive to deal with on the fly. By investing in regular maintenance and monitoring, you avoid costly surprises down the road.

Imagine being the proud owner of the bustling coffee shop on the corner, where customers eagerly queue each morning for their daily caffeine fix. But what happens if a sudden storm cuts the power, or if your payment system is hit by a cyberattack, leaving you with a line of disgruntled customers? Unexpected disruptions can affect any business, no matter how successful. One day, everything runs smoothly; the next, you’re facing a crisis that threatens your operations. Don’t be caught off guard. In this guide, tailored specifically for any small business owners in Traverse City, MI and beyond, we’ll walk you through the crucial steps of crafting a robust business continuity plan to help ensure your business remains operational, even when unexpected challenges arise.

Stay Resilient with These Key Steps

Identify and Prioritize Critical Business Functions

Determine what aspects of your business are essential and must be protected. Prioritize these critical resources and understand how disruptions could impact them. For instance, if you own a coffee shop, brewing coffee and serving customers are key operations. Ensure your kitchen functions efficiently and your coffee supply chain remains uninterrupted.

Develop a Clear and Comprehensive Plan

Create a detailed plan with straightforward instructions for your team to follow during a disruption. Assign specific tasks to team members to minimize downtime. For example, if you run a bakery and your oven stops working, have a strategy in place to manage orders and communicate delays to customers. Allocate roles for handling repairs and customer interactions.

Utilize Advanced Tools for Data Protection

Make use of technology to safeguard your business data. Implement systems that automatically back up data to the cloud, ensuring it’s retrievable when needed. Consider using failover systems to switch seamlessly to backup operations during a disaster. If you run a gym, regularly back up membership records and keep an extra Point of Sale (POS) device as a backup for payment processing.

Train Your Team and Test Readiness

Regular training sessions can enhance your team’s preparedness for different scenarios. Simulate various disruptions to test both your continuity plan and your team’s response. Based on these exercises, continuously update and refine your plan to meet your business’s evolving needs.

Engage Key Stakeholders

Incorporate input from managers and staff who are integral to your operations. Their feedback is invaluable for creating an effective continuity plan. Keep your team informed of any updates to ensure everyone is aligned and prepared.

Commit to Continuous Monitoring and Improvement

Proactively monitor systems to identify potential issues before they escalate. After a disruption, gather insights from staff and customers to refine your continuity strategies. For example, regularly check your payment systems and coffee machines for any glitches. Use each challenge as an opportunity to improve.

Streamline Your Planning with Professional Support

Business continuity planning doesn’t have to be overwhelming.
