Who This Affects and What It Fixes
This guide is for small-business employees who use Microsoft Teams and want to send or forward emails directly into a Teams channel. Once set up, emails appear as posts in the channel, keeping conversations visible to the whole team. If external emails are not arriving, your Microsoft 365 administrator will need to enable the feature in the Microsoft 365 Admin Center.
Step 1: Get Your Channel’s Email Address
- Navigate to the channel where you want the emails to appear.
- Click the More options button (three dots …) next to the channel name.
- Select Get email address.
- Copy the unique email address that is generated.
Step 2: Send or Forward an Email to the Channel
- From any email client: Paste the copied channel email address into the To line of a new email, or open an existing email and forward it to that address, then click Send. The email will appear as a post in the channel.
- From Outlook: Open an email and use the Share to Teams feature to select the destination channel directly without needing to paste the address manually.
Important Considerations Before You Start
- Admin settings required: Your Microsoft 365 administrator must enable the Email integration feature in Teams settings. If the Get email address option does not appear, contact your administrator.
- External emails may be blocked: By default, emails sent from outside your organization may not arrive in the channel. An administrator must explicitly allow external emails in the Microsoft 365 Admin Center.
- File name changes: Attachments saved to the channel’s Files tab may have a unique ID appended to the file name because of how Teams handles retries.
- Replying inside Teams is not an email reply: If you reply to an emailed post from within Teams, it creates a new conversation thread in Teams—it does not send an email reply back to the original sender.
Need Help?
If email integration is not working after following these steps, your administrator may need to adjust settings in the Microsoft 365 Admin Center. For additional assistance, contact the ACS support team.
Common questions
Why is the ‘Get email address’ option not showing in my Teams channel?
The option only appears when your Microsoft 365 administrator has enabled the Email integration feature in Teams settings. Reach out to your administrator to have this turned on.
Why are emails from outside my company not showing up in the Teams channel?
External emails are blocked by default for security reasons. Your Microsoft 365 administrator must allow external emails in the Microsoft 365 Admin Center before they will appear in the channel.
If I reply to an email post inside Teams, does the original sender get my reply?
No. Replying to an emailed post from within Teams creates a new conversation thread inside Teams only. It does not send an email reply back to the original sender.
