Post-Transfer Outlook Issues: How to Fix Profile Errors After a PC Migration

Who This Affects and What Fixes It

This issue affects employees who have recently had their data transferred to a new computer. During the transfer process, the migration software attempts to import the Outlook profile from the old device. This can result in errors related to the Outlook data file, and Outlook may prompt you to remove the current profile. The fix is straightforward: switch back to the Outlook profile that was created when your new computer was first set up, then delete the profile that was brought over by the migration.

How to Fix Outlook After a PC Transfer

  1. Open the Control Panel on your computer and navigate to Mail (you can search for “Mail” in the Control Panel search box).
  2. Click Show Profiles. You will see at least two profiles listed — one created during the initial setup of your new computer and one imported by the migration software.
  3. Select the profile that was created during your new computer’s initial setup and set it as the default by choosing Always use this profile and selecting it from the dropdown.
  4. Click OK, then open Outlook and confirm that it connects and loads your email correctly without errors.
  5. Once you have confirmed Outlook is working, return to Control Panel > Mail > Show Profiles.
  6. Select the profile that was imported by the migration software and click Remove to delete it.
  7. Click OK to finish.

How to Prevent This in the Future

This problem can be avoided before a transfer takes place. When configuring the migration, either adjust a setting within the Advanced section of the transfer configuration, or exclude the AppData directory from the transfer entirely. Either approach will prevent the old Outlook profile from being carried over to the new machine.

Common questions

Why did my Outlook break after getting a new computer?

When data is transferred from your old computer to your new one, the migration process may also import your old Outlook profile. This imported profile can conflict with the fresh profile that was set up on your new machine, causing data file errors or prompts to remove the current profile.

Which Outlook profile should I keep after a PC migration?

You should keep the profile that was created during the initial setup of your new computer. After confirming that Outlook works correctly with that profile, delete the profile that was imported by the migration software.

How can I prevent Outlook profile errors during a future PC transfer?

Before the transfer begins, configure the migration settings to either adjust the relevant option in the Advanced section or exclude the AppData directory from the transfer. Either method will stop the old Outlook profile from being copied to the new device.
