AI Agents Are Not Just Chatbots, and That Distinction Matters for Your Business
Most people think of AI as a very smart chatbot. Something you can ask questions, have it create files or pictures, maybe draft an email. That is useful, and I get it. But agents are something completely different, and I think small business owners need to understand that difference.
What an Agent Actually Does
A chatbot answers you. An agent works for you. Agents can handle workflows from end to end, things like scheduling follow-ups or data entry, without having somebody babysit every single step. You set it up, it runs, it makes decisions, it follows multi-step processes on its own.
And they can be specially trained. You can give an agent specific knowledge about your business. If you are good at writing down how you do things, the agent can be as smart as you are, or smarter, because it can pull from what you have written, what it already knows, and what it can find on the internet. That is a powerful combination.
The best question to ask yourself right now is this: do you have tasks in your business that require the same steps every single time? That is exactly what an agent is built for.
The Tools That Exist Right Now
My favorite agent system right now is Claude. It is one of the more capable tools out there, but it is also one of the more expensive. I am currently working on replacing it with Grok, which is far more affordable. If Grok can do what Claude can do, that is a great spot to be in. I will let you know how that goes.
What I have found so far is that Grok is not quite as capable yet, and I think the reason is that the tool ecosystem around it has not been built out the way Claude’s has. That matters when you are trying to run real workflows.
You may also already have agent-like features in tools you are paying for right now. Microsoft has Copilot. Your CRM may have something built in. Worth digging into before you go looking for something new.
I saw this play out recently with a neighbor of mine who was building a website. He spent four hours fighting with it, trying things, failing, trying again. Then he found the AI feature inside the website builder, started chatting with it, and within 15 minutes it had fixed everything. That is the power sitting inside tools people already have and are not using.
One Thing I Learned the Hard Way
Agents are not always consistent out of the box. I ran into this myself. The results were not reliable enough for what I needed, so I had to build workflows around the agent to get truly consistent output. That extra layer made all the difference.
So go in with realistic expectations. Agents are good, useful, but they sometimes need some structure around them to perform the way you want. That is not a dealbreaker. It is just part of setting them up right.
If you want to get started, look at what you already have. Check your CRM, check Microsoft 365, check whatever tools your team uses every day. There is a good chance something is already there waiting for you to turn it on.
